Operations Manager

JOB TITLE Operations Manager
POSITIONS REPORTING TO THE JOB TITLE Research assistant, interns
LOCATION Based in Colombo

Purpose of the position:

The Operations Manager is responsible for providing financial, administrative, logistical and human resource support to Oceanswell. We are looking for someone who believes in and shares Oceanswell’s mission, vision and values.

Key responsibilities:

  • Managing and processing of all income and expenditure
  • Monthly reconciliation of Grant and Donation income and bank accounts
  • Manage and control field expenditure, expenses and petty cash
  • Process payroll and disburse monthly salaries
  • Ensure timely donor reports as per donor requirements
  • Take minutes during meetings
  • Help organize logistics for field work and related projects
  • Respond to enquiries about the organization
  • Maintain contracts and agreements for external consultants, students, volunteers and interns
  • Assist the Executive Director in coordinating the recruitment process for new staff and volunteers/interns
  • Sourcing and/or ordering goods and services and finance verification of quotations, purchase orders, invoices and deliveries
  • Processing travel requisitions and booking flights
  • Supervise research assistant and volunteers to ensure smooth running of ongoing projects
  • Assist Executive Director with logistics related to travel and field work
  • The Operations Manager may be called upon to perform additional duties not described above from time to time

Minimum skills:

  • Proven leadership qualities
  • Ability to work independently in some cases with only general direction and minimal guidance
  • Experience in a non-profit setting
  • Experience liaising with international and local donors and partners
  • Excellent skills in the use of MS Office programmes. Quick Books skills will be a bonus.
  • Strong organizational skills
  • Effective communication skills – both written and verbal (English language skills are compulsory and applicant must have ability to work in at least one other local language)
  • Good team-building skills
  • Flexibility and understanding of new ideas, concepts and issues
  • Good attention to detail
  • Good administrative and report writing skills
  • Ability to coordinate and lead, in a strategic manner, various teams and tasks, and set and meet deadlines
  • Ability to manage varied and changing work plans and workloads with a sense of ownership for quality of work and deliverables
